The Meeting Management report provides a high-level overview of how much time people and teams spend in meetings and out of the office. This report automatically collects and visualizes key details from Google Calendar (see integration instructions here), helping you to identify areas for improvement and prevent burnout across your teams.
The report includes seven key metrics:
- Hours in Meetings (by person and team) - This information is aggregated by both team and person, in separate charts. This measures the amount of hours that people/teams spend in meetings.
- Hours in 1:1 Meetings - This shows how much time people spend in 1:1 meetings. Regular meetings between individuals, especially between a lead or manager and those on their team are important to ensure people are engaged with and connected to the work.
- Hours in Team Meetings - This measures the amount of time spent in team meetings. Team meetings, especially for a development team are vital to keep the team aligned on what is important and focused on the team’s goals. That said, there’s a balance to strike. You want enough, but not too many team meetings.
- Days Out of Office by Person - This measures the amount of time that a person is marked as Out of Office on their calendar. Taking time away from work to enjoy the rest of life is important, and this can be used to take a look to see if people are taking appropriate time away from work.
- Days Out of Office by Team - This measures the amount of time that individuals from a team are marked as Out of Office on their calendars. Looking at this will help you understand if a team had appropriate capacity to meet their goals for a given period of time.
- Hours of Meetings by Meeting Creator - This measures time spent in meetings aggregated by the meeting creator. Looking at this will help you see if there are individuals within the organization having an outsized impact on people’s time by scheduling meetings.
You can easily customize this report to filter by project, team, time period, or person. Whether you're curious if people have enough non-meeting time to get work done or are interested to see if people are getting enough time away from work to stay engaged, this report provides valuable insights for continuous improvement.
